What is this shift schedule maker?

Accepted Answer

A free tool for building a month of employee shifts and sharing it as a printout or an image. The month view shows the familiar roster layout with dates down the side and staff across the top, while the day and week views show shifts as a timeline with hours along the horizontal axis. No sign-up is needed, and everything you enter is saved automatically in your browser.

Question 2

How do I enter shifts?

Accepted Answer

Pick a shift type (early, day, night and so on), then click a cell to place that shift. Keep dragging downwards to fill consecutive days in one go. An existing shift can be dragged to another person to move it, or dragged with the Alt key held down to copy it. In the day and week views you can also drag across an empty row to set the hours directly.

Can I rename shift types or change their hours?

Accepted Answer

Yes. Ten presets are provided (day, early, mid, late, night, overnight, evening, post-night, sleepover and on-call), but the name, abbreviation, start and end times, colour and break length are all editable, and you can add your own types. Every workplace uses different names, so set them to whatever your team actually says. Non-working types such as days off, paid leave and absence can be registered too.

How are labor costs calculated?

Costs are totalled per employee over the range of the sheet, from its start date to its last day. Break time is deducted to give actual hours worked (in automatic mode, 45 minutes over 6 hours and 60 minutes over 8 hours, following Japanese labour law) A 25% premium is added for night work between 22:00 and 05:00 An overtime premium (1.25x by default) applies beyond 8 hours a day or 40 hours a week A holiday premium (1.35x by default) applies to work on statutory holidays Commuting allowance is added, either per working day or as a fixed monthly amount Premium rates, standard working hours and which days count as statutory holidays can all be changed in the settings. Salaried employees are counted at their monthly salary, with premiums based on an hourly rate derived from their average monthly contracted hours. The totals are an estimate. Check your own employment rules and contracts before using them for payroll.

Can I check whether I have enough people on?

Accepted Answer

Under staffing requirements you can record how many people each position needs, for a given time range, either by day of the week or for a specific date. The month view then shows any shortfall in red at the right-hand edge, and the day and week views draw the surplus or shortfall under the timeline for each time slot. Add someone to the gap and the warning clears immediately, so the holes you need to fill are easy to spot.

Question 6

Can I copy last month's schedule into the next month?

Accepted Answer

Yes. Each sheet covers one month, and the duplicate button offers three options: match the dates (same day next month), match the weekdays (four weeks later), or create an empty sheet with no shifts. You can duplicate as often as you like, but each extra sheet makes the data stored in your browser larger and the tool slower. We recommend deleting sheets you no longer need, or resetting at a natural break point, so that only the months you actually use are kept.

Will the layout survive printing?

Accepted Answer

A dedicated print layout is included, so you can print straight from the browser with Ctrl+P or Cmd+P. Page headers and toolbars are hidden automatically and only the schedule is placed on the paper. Paper size (A4, A3 and so on) and orientation can be chosen in the print settings, and by default they are picked to suit the number of staff and the current view. A month view with a lot of staff prints best on A3 landscape.

Where is my data stored?

Accepted Answer

Everything you enter is saved automatically in your browser (localStorage) and restored the next time you open the page. Nothing is sent to a server, so names and pay rates never leave your machine. The trade-off is that the data is not shared with your other devices or browsers, and clearing your browsing data will remove it. To move a schedule to another device, or to keep a backup, export it as a JSON file and load that file on the other side.

How can I save the chart as an image?

Accepted Answer

Click the "Download Image" button below the preview area to download your chart in PNG/JPEG/SVG format with your chosen quality. If you want to change the aspect ratio, drag the handle at the bottom-right corner of the preview frame to adjust it.

Question 10

Is there an auto-save feature?

Accepted Answer

Yes, there is. Your chart data is saved automatically to your browser's local storage. When you reload the page, or close and reopen your browser, you can restore the saved data. You can also revert to the default data by pressing the reset button at the top-right of the data input area. Local storage data is saved only in your browser and is not shared with other users. If local storage is disabled in your browser settings, the auto-save feature will not work. Clearing your browser cache will also delete the saved data.

How do I load saved data?

You can load a chart using the "Resume from Saved Data" button. When loading, enter the URL and password issued when you saved it.
